Transcript and Scheduling Specialist
The Office of the Registrar is seeking an individual to perform the following duties:
Enters data, schedules rooms, and maintains schedule changes for traditional graduate, undergraduate classes, and cohort programs (exclusive of the College of Business and Management). Schedules rooms for on-campus College of Business and Management cohorts. Maintains and manages transcript records and fulfills transcript requests. Supports other functions in the Registrar’s Office.
DUTIES AND RESPONSIBILITIES:
Scheduling
- Coordinates and maintains traditional semester class schedules
- Assigns rooms and verifies that course days/times meet the appropriate standards for traditional undergraduate and graduate classes being offered each semester
- Coordinates non-CBM cohort class schedules and rooms each semester
- Coordinates rooms for on-campus CBM cohorts
- Maintains schedule updates in the student information system and on the University website and communicates these changes to various departments and offices
Transcripts
- Processes all transcript requests received by mail, fax, or in person
- Maintains records for transcript requests and transcript response cards
- Notifies students of holds or problems with transcript
- Works with students and University personnel to correct transcript issues
- Maintains permanent academic records
- Prepares daily deposits of transcript receipts
- Maintains name and address changes reported through the transcript request process
Office Duties
- Provide customer service to Registrar’s Office visitors and callers
- Registers graduate students and answers related questions
- Assists with grade entry and grade changes each semester
- Provides customer service for callers to the University phone system
- Provide back up support to other staff members
- Performs other tasks as assigned by the Registrar
MINIMUM EDUCATION:
- High school diploma

- Experience with an integrated student information system, preferably Jenzabar
- Experience with Microsoft Office applications

Database CoordinatorThe Office of Advancement will be conducting a search for a database coordinator to begin employment as soon as possible.
Responsibilities will include the following:
- Perform data entry for the Office for University Advancement database.
- Record accurately all constituent information in the development database.
- Update records with new information as provided.
- Generate and personalize gift acknowledgement letters.
- Enter constituent gifts according to advancement policies and procedures.
- Conduct monthly checks to ensure accuracy of data.
- Perform batch coding as directed.
- Implement the operation for the importing and exporting of records for NCOA purposes.
- Receive all returned mail and enter or distribute for entry and update as appropriate
- Generate reports from the development database as directed by the director of Research and Advancement Services.
- Run and distribute weekly, bi-weekly and monthly reports.
- Fulfill requests from other University offices and departments for information, labels, lists and reports from the Advancement database.
- Run pre-configured reports for Advancement department personnel as requested.
- Provide acknowledgements in conjunction with other department personnel.
- Determine project priorities and manage tasks accordingly.
- Serves as the team leader for the department’s efforts to understand its constituent data by guiding analysis and segmentation efforts.
- Assist with planning and implementation of prospect management research procedures.
- Takes lead on all augmentation/clean up of existing data sources and ensures constituent data is current and as enhanced as possible to ensure the most effective use of all the information available.
- Keeps updated and informed about product issues and additional training opportunities.

The Office of Advancement will be conducting a search for director of Special Events. This individual will be responsible for implementing dynamic events to raise funds and friends for Cardinal Stritch University. ESSENTIAL DUTIES AND RESPONSIBILITIES:
Oversee the successful planning and implementation of various University/alumni special events. Provide appropriate support to volunteers and provide the administrative services needed to ensure successful events.
- Aggressively gather information on each project to achieve quality event productions.
- Assist in setting and tracking event goals and the overall strategic analysis of each event during an ongoing evaluation process.
- Maintain accurate administrative records and systems to ensure the smooth implementation of each event.
- Develop and manage the timeline for each event. Work with volunteers to ensure progress toward meeting goals and maximizing efforts.
- Facilitate all aspects of event production by working with the Facilities, Food Service, and Security Departments as well as other department representatives throughout the University to successfully implement events.
- Assist in securing sponsorships for each event in coordination with the Advancement staff.
- Work with the PR department on all print and communication materials.
- Assist in the development and manage the implementation of new fundraising events, as needed. Schedule events on the calendar and maintain its accuracy.
- Create and revised room layouts for each event. Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating charts, etc
- Assist with preparing budgets and provide periodic progress reports to staff directors for each event project.
